1. Who We Are
PulseFE is a product of softofficepro.com, 780 Nayabad, Flat 3A, Kolkata 700150,
India. This policy describes how we handle information collected through this website and through
the PulseFE platform.
2. Information We Collect
- Contact details — name, organization, email, and phone when you submit the contact form on our website.
- Website analytics (with your consent) — pages visited, referrer URL, approximate country and city derived from IP, first-party visitor ID (
pfevid). IP addresses are not stored in plain form (one-way hash only). Retained up to 90 days.
- Admin portal — work email, login timestamps, OTP records (hashed), activity log of admin actions. Retained up to 365 days for activity logs.
- Survey / field data — processed on behalf of our customers (responses, GPS, media). The customer is the data controller; Softofficepro acts as processor where applicable.
3. Lawful Bases (GDPR)
- Contract — admin login, OTP authentication, delivering portals you are invited to use.
- Consent — first-party website analytics cookies (
pfevid); you may refuse via our cookie banner.
- Legitimate interests — security logging, admin activity audit, responding to business enquiries.
- Processor role — survey field data, per customer instructions.
4. How We Use Information
- To respond to enquiries and provide demos, quotations, and support.
- To operate, secure, and improve the PulseFE website and platform.
- To send service communications related to your projects.
- We do not sell personal information to third parties.
5. Sub-processors & Transfers
We use trusted providers to run the service, including:
- Brevo — transactional email (OTP, invites)
- Hosting provider — server infrastructure (e.g. cloud VPS)
- MaxMind GeoLite2 — offline IP-to-location database on our server (no IP sent to MaxMind at query time once the database file is installed)
Data may be processed in India and, where applicable, in countries where these providers operate. We use appropriate safeguards (including Standard Contractual Clauses where required) for international transfers.
6. Data Hosting & Ownership
PulseFE runs on self-hosted infrastructure. Survey data collected in the field remains the property of the commissioning customer. Website and admin data are stored in encrypted SQLite databases on our servers.
7. Security
Data is protected with HTTPS in transit, signed session cookies, hashed credentials and OTPs, and access controls limiting admin analytics and logs to super-admins.
8. Retention
- Website analytics: up to 90 days (configurable)
- Admin activity logs: up to 365 days (configurable)
- OTP codes: deleted after expiry
- Enquiry emails: as long as needed for the business relationship
- Survey field data: per customer agreement
9. Your Rights
Where GDPR or similar law applies, you may request access, rectification, erasure, restriction, objection, or data portability. Logged-in users can download their data at /api/auth/me/export. Contact info@pulsefe.com for other requests — we respond within 30 days. You may lodge a complaint with your local supervisory authority.
